Why send a written quotation
A quotation tells a customer exactly what you will provide and at what price before any work starts. It prevents misunderstandings, makes your business look professional, and gives the customer something to approve. Many companies and government offices require a written quotation before they place an order.
How this tool works
Enter your business details and the customer's details, add each item or service with quantity and rate, and set tax and discount. The totals are calculated automatically in the live preview. Set a “Valid until” date so the customer knows how long the price is fixed, and use the notes for delivery time, payment terms or conditions. Download the quotation as a PDF to email or print.
Writing a quotation that wins work
Describe items in plain words the customer understands, list services separately so the price is transparent, and state what is not included. A realistic validity period — often 15 to 30 days — protects you if material prices change.
Quotation versus invoice
A quotation is an offer; it does not ask for payment. When the customer accepts and the work is done, create an invoice with the Invoice Generator using the same items and prices, and mention the quotation number in the notes.
Good habits
Number quotations clearly (QT-001, QT-002), keep copies of every quotation you send, and follow up with the customer before the validity date ends.
